I think we can meet at a restaurant at 10:30am or 10am on Jan. 21 for people having more time to talk if your friend's restaurant can provide this convenience for us. Therefore, people can have enough time to eat and the party can be finished earlier.

You can arrange several speakers for different topic talks about 45 minutes to 1 hour, then let people talk or meet each other freely with their interests.

I believe other people in DFW must have better idea for this gathering.
