1)tele-conference:)--not possible. I'd be talking with other folks at the time
2) meeting agenda-- I can read agenda first but there are always items not on the agenda...
3) pre-read stuff-- same as above. all key stakeholders will be at the meeting. hard to predict what can happen.
4) you present your projects:)-- as in 1). not present.
I have scheduled a meeting to discuss business plan for my project next year. But if someone brings it up in the other meeting, nothing I can hold them back. It is a question of preempting...
